Definitions
“Octopus Electric Vehicles”
Our company is called Octopus Electric Vehicles Limited (‘Octopus Electric Vehicles’, “Octopus EV’, ‘we’, ‘us’, ‘our’). Our registered office is at UK House, 5th Floor, 164-182 Oxford Street, London, United Kingdom, W1D 1NN and our company registration number is 10754317. “We”, “Us” and “Our”
In each case refers to Octopus Electric Vehicles.
"You" and "Your"
In each case means the leaseholder (the organisation offering the Salary Sacrifice scheme to its employee’s).
“The Driver”
In each case, the employee that is permitted to use the vehicle as the primary driver outlined on the Driver Quote and Agreement document.
“Interim”
A salary sacrifice vehicle contracted for a 12 month period.
“Long Term vehicle”
A salary sacrifice agreement with a 24, 36 or 48 month term, provided through the employers company scheme with Octopus EV.
General Terms
- All products offered by Octopus Electric Vehicles are subject to our standard Terms and Conditions - these can be found here. By signing your Driver Agreement, you accept these Terms and Conditions, as well as those outlined below relating to your Interim vehicle agreement.
- These terms and conditions relate to an interim vehicle, offered to the driver following agreement from their Employer offering the Salary sacrifice scheme with Octopus EV.
- The option to offer interim vehicles to employees is at your (the employer offering the salary sacrifice scheme) sole discretion. Each order will require your sign off on a Driver Agreement and Vehicle Hire Schedule document.
- The interim vehicle is provided to the driver’s organisation, and the driver’s use of the vehicle permitted by their employer. Our full Salary Sacrifice eligibility criteria apply to this vehicle, and by signing the Driver Quote and Agreement document, the driver confirms they meet these requirements.
- Your interim vehicle agreement is subject to the same tax obligations as your long term salary sacrifice vehicle. This includes a monthly Benefit in Kind (BiK) cost for the vehicle itself, an estimate of which will be indicated on your “Driver Quote & Agreement” document.
• If you have your interim vehicle over different tax years, your monthly cost will change based on the applicable BiK rate for that tax year.
Eligibility
- Across all salary sacrifice arrangements with Octopus EV, our standard eligibility criteria apply.
- To be eligible for an interim vehicle on salary sacrifice, the driver must have a Long Term vehicle ordered via their employer's salary sacrifice scheme, provided by Octopus Electric Vehicles. The long term vehicle must have a minimum delivery lead time of two (2) months from the date of the Driver Quote & Agreement being created.
- The driver’s “Driver Quote and Agreement” document includes the specific information around the vehicle and contract agreement, is it the Driver’s responsibility to have read and understood this document. If there is any incorrect or missing information, please let us (Octopus EV) know as soon as possible so we can get this sorted for you.
Insurance
- If the interim vehicle is being provided with insurance (as per your scheme configuration) then the Salary Sacrifice insurance eligibility criteria will also apply to the main and any additional drivers.
- If the interim vehicle is being provided without insurance, the driver is responsible for ensuring the interim vehicle has fully comprehensive motor insurance cover, which includes business use, and they must share a copy of the insurance certificate with Octopus Electric Vehicles before accepting the vehicle.
• Octopus EV will verify the insurance coverage of the interim vehicle before delivery, and if insurance cover evidence is not provided, or the cover is not to the sufficient level
Charging
- There is no additional charging promotion available with an interim vehicle. We will endeavour to support your charging requirements, including a home charger installation that comes as part of your long term vehicle order (if selected as your preferred charging offer). Please note however that timelines are subject to your long term vehicle order, and we may be unable to expedite charger installation or Electroverse credit redemption based on your interim vehicle order.
- If your home charger is installed before your Long term EV order arrives, and you then cancel your EV order, you will be liable for the full cost of the charger and installation. Full terms and conditions of the full charging offer can be found here.
On delivery of your interim vehicle:
- All cars will go through a full valet before delivery.
- Vehicles will be driven to be delivered, and therefore may have more miles on the odometer than in your signed quote. Your contracted mileage allowance will only start once your vehicle has been delivered and the handover document signed.
- Where needed, another valet will be completed on route.
- Vehicles should be delivered with 50% charge but this can not always be guaranteed.
- Vehicles will come with a charging cable (Type 2 to Type 2).
- If the car doesn’t come with a parcel shelf, it is likely the rear windows are tinted (to prevent people seeing in) and therefore the car doesn’t come with a parcel shelf.
- It’s important to look around the vehicle when your vehicle is delivered, and note down any damage with the driver, before signing the handover document. This means you won’t be charged by us at the end of the contract for any damage made to the vehicle outside of your lease period.
When returning your interim vehicle:
- Collection:
Take a look at our Help Centre for more information on what to expect on collection day.
- Please let us know immediately if the collection date needs to change. Cancellations or undriveable cars at collection with less than 24 hours notice will incur a fee of up to £250.
- To ensure the interim car is ready for collection, the driver should prepare the following:
• Disconnect and clear all personal data and accounts from the car – see how to do this here
• Remove all personal belongings and rubbish – we’re unable to return lost items after collection
• Make sure the vehicle is parked in a safe place ahead of collection to prevent any potential damages from occurring
• Ensure the car is clean and in good lighting for it’s preliminary inspection at collection, or the logistics team won't be able to assess the condition until it's back on site
• Make sure the car runs properly and can be driven
• No warning lights, windscreen damage or mechanical defects
• Tyre treads are above the legal 1.6mm limit
• A minimum charge of 50% - The driver should leave the following in the car:
• Keys (including any spares)
• Dealer-supplied charging cables
• Dealer-supplied spare wheel and locking wheel nut key (if applicable) - It’s also important to remove any modifications made to the vehicle, and to let us know about any other issues before collection

- End of contract damages:
- You won’t be charged for minor wear and tear to the car during the contract term, in line with the BVRLA Fair Wear and Tear Guidelines Fair Wear and Tear Guidelines.
- You’ll have to cover charges if you return your car at the end of the agreement with an unreasonable level of wear and tear or with items missing. You won’t be charged for any damage made to the vehicle outside your lease period. The main causes of unreasonable wear and tear are (but not limited to):
• Lack of regular checks by you leading to faults and damage being undetected and unrepaired
• Not adhering to the car manufacturer’s recommended maintenance and servicing schedule
• You not taking responsibility for the day-to-day care and maintenance of the car leading to general neglect
• Missing spare key/navigation system disc
- Damage waiver
- Each contract has a £500 damage waiver which covers repairs up to that sum (excluding VAT).
• If repairs cost over £500, you’ll be liable to pay the full amount (i.e. if the cost is £600, you’ll need to pay £600, not £100). - These end of contract damages will then be recharged to you and deducted from your net salary. In order to minimise these costs, please make sure you undertake any necessary repairs before returning the vehicle.
- Each contract has a £500 damage waiver which covers repairs up to that sum (excluding VAT).
- Excess mileage:
- The scheme allows the driver to select an expected annual mileage, accumulated over the duration of the contract to create a contracted mileage allowance.
- When the interim car is returned at the end of the lease, an excess mileage charge will apply for any mileage over this allowance, calculated using the excess rate outlined in the interim vehicle’s Driver Agreement.
• This will be calculated on a pro rata basis based on how long into the contract the vehicle was returned. - Any excess mileage charges will be taken from net pay by the employer, and the driver won't receive tax savings on this. Being realistic on your quote means that the cost of the mileage is included in your monthly salary sacrifice and will receive tax saving benefits.
- If the interim vehicle is returned before the end of the contracted lease term, any excess mileage will be prorated, based on how long the driver has had the car for. Any mileage over this prorated amount will be charged at the excess rate outlined in the interim vehicle’s Driver Agreement.
Cancellation:
- If you change your mind or leave employment, you can cancel your interim car order free of charge up until one (1) working day before your delivery date.
- After this, there may be a minimum cancellation fee of £250.
